Let AI Handle Your Inbox

Not by sounding like a robot. By drafting like you, triaging like an assistant, and killing the emails you rewrite every week.

Be honest: there's an email sitting in your inbox right now that you've opened four times and closed four times. This guide is about never doing that again.

You don't need a fancy integration for any of this. Copy, paste, and a chat window handle 90% of inbox pain. Here are the four routines, easiest first.

Routine 1: Kill the emails you keep rewriting

You send the same five emails over and over: the price question, the "here's how booking works," the gentle invoice nudge, the "thanks but no." Stop writing them fresh every time.

"Here are two emails I've sent recently that I basically rewrite every week: [paste them]. Turn each into a reusable template in my voice, with [brackets] for the parts that change. Keep them warm and short."

Save the templates wherever you'll find them (a note, a doc, your drafts folder). This one routine is worth 20 minutes a week forever.

Routine 2: The dreaded-reply draft

The four-times-opened email. The one with feelings in it. Paste the whole thread and let AI take the first swing:

"Here's an email thread: [paste]. I need to reply. What I actually want to say is [the blunt version, be honest]. Write it so it's kind but clear, keeps the relationship, and doesn't over-apologize. Two versions: softer and firmer."

The magic is in telling it the blunt version. It keeps your point and sands off the 2am energy. You'll send the softer one, but you'll feel better knowing the firmer one exists.

Routine 3: The Monday morning triage

Back from a weekend (or heaven forbid, a vacation) to 60 unread? Select-all, copy the subject lines and senders, paste:

"Here's my unread inbox: [paste subjects and senders]. Sort into: needs a reply from me today, quick yes/no answers, FYI only, and safe to ignore. Flag anything that smells like money or a deadline."

Sixty unread becomes four piles in a minute, and only one pile actually needs you before lunch.

Routine 4: Teach it your sign-offs

One-time setup that makes every future draft land closer to you: paste three real emails you've sent and say "this is how I write emails, match this from now on" (put it in your custom instructions so it sticks, my Set It Once tool builds that text for you). The difference between generic AI email and your-voice AI email is exactly this step.

The rule that keeps you human: AI drafts, you decide. Read every email before it goes out. The goal is never "AI answers my email." It's "I stop spending Tuesday night composing."
