One Assistant Per Job

Give each part of your business its own AI workspace that remembers everything, so nothing starts from scratch.

Right now your AI chat history is probably one giant junk drawer: a caption request, a contract question, meal ideas, an email draft, all in one endless scroll.

It works, but you're leaving a lot on the table. The upgrade is something every major AI app now has: dedicated workspaces. ChatGPT calls them Projects. Claude calls them Projects too. Gemini calls them Gems. Same idea everywhere: a folder with a memory, where you set the instructions once and every chat inside it starts already knowing the job.

Why the junk drawer holds you back

Every new chat starts at zero. Zero context about your business, your voice, your customers. So you either re-explain (tedious) or skip it (generic results). A workspace flips that: the context lives in the workspace, and every conversation inside it builds on the same foundation. It's the difference between hiring a new temp every morning and having a small team that already knows how you work.

Start with three workspaces

Don't build ten. Three covers most solo businesses:

Marketing. Instructions: your voice, your audience, your platforms, plus a few of your best past posts. Every caption, email, and content idea gets made here.
Operations. Instructions: your services, prices, policies, how booking works. This is where client questions, tricky emails, and scheduling puzzles go.
The back office. Instructions: how you think about money and decisions. Subscriptions audits, pricing thinking, planning your quarter. The unglamorous goldmine.

Setting one up (10 minutes each)

In your AI app, look for "New project" (ChatGPT, Claude) or "Gems" (Gemini). Give it a name, then fill in the instructions box. That box is the whole trick, and you already know how to write it. If you've built your Business Brain File, paste it in and add one paragraph about this workspace's specific job:

Most workspace features also let you attach files that stick around: your service menu, your FAQ, your best-performing posts. Anything you'd hand a new hire on day one, drop it in.

The payoff shows up fast

Open your Marketing workspace and type "caption for tomorrow, we have two openings in March." That's the whole prompt. No context, no re-explaining, and what comes back sounds like you, because the workspace already knows you. Compare that with the junk drawer version and you'll never go back.

One habit keeps it working: when a workspace gets something wrong twice, don't just fix the answer, fix the instructions. Add a line ("never use exclamation points," "our busy season is May to October") and it's fixed for every future chat. Your assistants get smarter every week you use them, which is a sentence you've never said about a junk drawer.
